The ERP's record is wrong. The mismatch only surfaces at month-end.
ERP — owns the financial record. This is where the credit memo gets posted, inventory gets reinstated, and finance runs its reports. The ERP breaks when its integration connector collapses, re-maps, or drops fields from the inbound payload — often after a connector update that the ERP team didn't know would affect the returns pipeline. In our implementation experience, the ERP is rarely the origin of the problem. It is almost always where the symptom becomes visible to the finance team.
Support and customer service system — owns the customer-facing status. This is where the support rep pulls up the return to tell the customer what's happening. It breaks when it receives status updates from a different system in the pipeline than the one finance is tracking. The support team and the finance team are watching different data sources, and those sources have drifted.
